SPIN ANNUAL GENERAL MEETING

Our SPIN Annual General Meeting would have been due to take place on 23 June.  However, our Prime Minister has indicated that it will be at least 4 July before people will be able to start to meet in larger numbers again.  We know this because he has said that social meeting places like pubs, clubs and restaurants will be permitted to open again on that date, but even then there would need to be a safe distance between each person who gathers in those places, and presumably this will only happen if the rate of infection is still going down.

We are therefore obviously not going to be able to hold our AGM on the date designated.  Our end of financial year accounts will still be published on the Charity Commission website at the correct time, as is our legal obligation, but the Charity Commission is allowing AGMs to be postponed, if necessary, until it is deemed safe to meet, or they can meet via a medium such as Zoom.  We prefer a face to face meeting, so at the present time, with the information we have to hand, we do not anticipate holding our AGM until towards the end of the year.

The minutes of the previous meeting are always sent out to members, parents, care homes, staff, volunteers and committee, a month before the current AGM is due to take place, and we will do this, as usual, when a new date is decided upon.

17th April – Update from SPIN

All of us at SPIN hope you had a happy Easter, despite not being able to get out and about at this time. We are trying to keep in touch with the majority of our members via email or telephone, and for those on email, we are attaching activity sheets which you can download and use, in case you are bored and need something to do.

Prom Unfortunately, we will be unable to hold the Prom on 8 May, as it is very unlikely that the lockdown will have been safely lifted within the next 3-4 weeks. If at all possible, we will try to re-schedule it for the autumn, but this will obviously depend on the current situation with coronavirus, and also whether or not we can hire a venue at that time. It is very possible that venues have already been booked during September and October. If that is the case, we will re-book for next year, and all those who have already paid will receive their money back.

Activity Week Our Activity Week is booked at the Coton Centre for Monday to Friday, 27-31 July. At this point in time we are hoping that we might still be able to go ahead with this, but we do not know for certain.

We will not send out any letters and booking forms for the Activity Week until around the end of May/beginning of June, and only then if we know that restrictions on lockdown and movement are going to be lifted by the end of the school year. However, we wanted you to have the dates so that you could book them in your diaries or on your calendars.

Please continue to stay safe at home, and be assured that we will keep you updated as to when we are able to resume SPIN.

Kind regards and best wishes

SPIN STAFF

COVID-19

Dear Members, Parents and Carers,

I am sure you have all been watching the news very intently over the past few weeks, and know how our own country is now in the grip of the coronavirus outbreak.

Many of our members have underlying health conditions which could affect them adversely should they catch the virus, and half of our staff are in the over 70’s age bracket, whom the government have told to self-isolate at home.

As of Monday, 16 March, the Coton Centre is closing all weekday activities in an effort to stop the virus from spreading.

After much discussion, we have decided that it is in all our interests to suspend SPIN on both Mondays and Wednesdays for the time being, starting tomorrow. This means that there will be no SPIN until at least after Easter.

Once Easter is over you will be contacted again to inform you as to whether or not we will be starting up again. The date of resuming SPIN will depend on whether the number of coronavirus cases in the UK are subsiding. If they are not, we may have to delay starting up, but we will keep you informed.

The SPIN Prom is due to take place on 8 May. A third of you have already bought tickets. At this point in time we are working on the assumption that we can still go ahead, but obviously, as SPIN is now closed, you will not be able to buy a ticket before the original deadline date of 1 April.

For those of you who still wish to come to the Prom, but have not yet bought tickets, please email me or telephone me (01827 64391) and let me know that you wish to come, so that we have an idea of numbers for catering. If we go ahead you will then be able to buy a ticket as soon as SPIN starts up again.

However, if the coronavirus outbreak gets worse, it is likely that Hopwas Club will suspend all bookings, and we are not able to hold the Prom, in which case, we will either move the date to the autumn, or cancel it altogether. All who have paid will then be given a full refund.

Some of our members are not on email or the Internet. If you have friends, neighbours, college or school friends who come to SPIN, please contact them and let them know about the above.

Finally, we do hope that you all understand why we feel we have had to take these measures, and look forward to seeing you again as soon as this disease subsides.

In the meantime, do look after yourselves and keep safe.
